How photography, video and content work at 445 Crew.

Photography & filming at our sessions
Photography and filming are an important part of documenting the 445 Crew community.
Photographers, videographers, members of the 445 Crew team or approved partners may take photographs and video during our sessions, events and collaborations.
This may include general photographs of the run, crowd and atmosphere as well as photographs or video in which individual runners are identifiable.

How we may use content
Photographs and video taken at 445 Crew sessions or events may be used to:
- document the community and our events;
- share highlights from sessions;
- promote 445 Crew and future events;
- create social media content;
- appear on the 445 Crew website;
- appear in newsletters and other 445 Crew communications; and
- support press, media, partnership or promotional activity connected with 445 Crew.
Content may be published through our own channels or, where appropriate, shared with photographers, event partners, collaborating organisations or media outlets.

Knowing when cameras are present
We will make reasonable efforts to make it clear when organised photography or filming is taking place.
This may include information on an event page, website, social post, sign at the meeting point or an announcement before a session begins.
Because many of our sessions take place in public spaces, we cannot prevent members of the public, other runners or independent photographers from taking photographs or video for their own purposes.

If you do not want to be photographed
We want people to feel comfortable running with us.
If you do not want to appear in 445 Crew photography or video, please tell a member of the team or the photographer before the session begins where possible.
We will make reasonable efforts to avoid deliberately photographing or filming you and to respect requests not to use identifiable images of you.
If you later see an image of yourself on one of our channels that you are concerned about, please contact us and we will consider your request promptly.

Featured content
Being present at a run does not mean that 445 Crew has unlimited permission to use your image for every possible purpose.
Where we want to create content that focuses specifically on you — for example an interview, testimonial, campaign, paid advertisement or other prominent promotional feature — we may ask for additional permission where appropriate.

Partners & collaborations
Some 445 Crew sessions are organised with brands, venues, photographers or other community partners.
Photography or filming may be carried out by those organisations as part of the collaboration.
Where reasonably possible, we will tell participants when this is happening and how the content is expected to be used.
Partner organisations may be responsible for their own use of photographs and video and may have their own privacy policies.

Children & young people
We take additional care with photographs and video involving anyone under 18.
We will consider the circumstances, the age of the young person, the intended use of the content and any safeguarding issues before publishing identifiable images.
Where appropriate, we may seek permission from a parent or guardian before using identifiable photographs or video of a young person, particularly for featured or promotional content.

Your own photos
We love seeing runners share their experience of 445 Crew.
You are welcome to take and share photographs or video of yourself and your friends, provided you respect the privacy and wishes of other people around you.
Please be particularly considerate when photographing children or anyone who has asked not to be photographed.
Content created by official 445 Crew photographers may remain the intellectual property of the photographer or creator.

How we use personal information
An identifiable photograph or video can be personal information.
Our use of photography and video must therefore have an appropriate lawful basis under data protection law.
Depending on the circumstances, we may rely on consent or our legitimate interests in documenting, communicating and promoting the 445 Crew community.
Where we rely on legitimate interests, we consider whether our use is necessary, what people would reasonably expect and the impact it may have on their privacy.
We take particular care where children are involved.

Removal requests
If you would like to ask us about an image or video featuring you, or request that we stop using particular content, please contact us using the details provided on 445crew.com.
We will consider each request reasonably and in accordance with applicable data protection law.
Where content has already been shared or published by an independent third party, we may not always be able to remove copies that are outside our control.
